We collect Personal Information from two primary groups:

  • Candidates: Individuals seeking employment opportunities, including foreign nationals seeking placement in Canada.
  • Employers: Organizations and their representatives seeking to hire personnel.

By submitting your Personal Information to us, or by using our website and services, you signify your consent to the collection, use, and disclosure of your Personal Information in accordance with this Policy.

2. INFORMATION WE COLLECT

A. From Candidates
To facilitate your recruitment and potential immigration process, we may collect:

  • Identity Information: Name, address, email, telephone number, date of birth, and location data.
  • Professional Information: Resume/CV, employment history, educational background, professional licenses (e.g., nursing registration), and reference contact details.
  • Immigration Documents: Passport copies, visa status, language test results (e.g., IELTS/CELPIP), and credential assessment reports (e.g., NNAS/CES).
  • Technical Information: IP address, browser type, and operating system.
  • Operational and Screening Data: Specifics about our services that you receive/use, and notes from interviews and screening calls.

B. From Employers

  • Business Contact Information: Names, titles, work emails, and phone numbers of hiring managers and directors.
  • Organization Data: Hiring needs, salary ranges, and staffing requirements.
  • Operational and Screening Data: Specifics about our services that you receive/use, and notes from discussions and calls.

3. HOW WE USE YOUR INFORMATION

We use Personal Information for the following purposes:

  • Recruitment Services: To match Candidates with potential Employers.
  • Credential Verification: To verify professional standing with regulatory bodies (e.g., CNO, NSCN).
  • Immigration Support: To assess eligibility for immigration programs (e.g., Atlantic Immigration Program, OINP) and facilitate visa applications.
  • Database Management: To maintain a searchable database of qualified candidates for future opportunities.
  • Communication: To contact you regarding job opportunities, interview requests, or changes to our services.
  • Database: To create a database of Candidates and Employers for internal use and to further facilitate recruitment.
  • Customization of Content and Experience: To tailor our services to provide a more relevant and personalized experience.
  • Identification: To recognizing you when you use our services.
  • Service Improvements: To improve our services and offerings, including through feedback, polls and surveys and through data analytics.
  • Contractual and Legal Obligations: To fulfill our contractual obligations and to comply with applicable laws and regulations.

4. SHARING AND DISCLOSURE

We do not sell your Personal Information. We share it only in the following circumstances:

  • To Prospective Employers: We share Candidate profiles (resumes, credentials) directly with certain Employers after determining a potential match. By submitting your resume, you consent to this sharing for the purpose of seeking employment.
  • To Our Database: We share Candidate profiles to our database for certain Employers to review, and request submissions, from various profiles. By submitting your resume, you consent to this sharing for the purpose of being included in this database.
  • To Service Providers: We may use third-party service providers (e.g., cloud storage, CRM software, background check providers) who process data on our behalf and/or fulfill specific purposes related to our services.
  • Legal Obligations: We may disclose information if required by law, such as in response to a court order or to comply with provincial labour standards inspections (e.g., Ontario Ministry of Labour, Nova Scotia Labour Standards).

5. CONSENT

Knowledge and Consent
We collect Personal Information only when you voluntarily provide it. Your consent is implied when you provide your profile or resume or when you apply for a position. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer.

We also collect your profile and your Personal Information when you voluntarily provide it for inclusion in our candidate database, which is accessed by certain Employers for potential future positions. You may request to be removed from this database at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer.

If you withdraw your consent or request to be removed from our database, you acknowledge that we may not be able to continue to provide any or all of our services to you.

6. RETENTION OF INFORMATION

We retain Personal Information only as long as necessary for the fulfillment of the purposes identified in this Policy, as reasonably necessary to comply with professional obligations and audit requirements, and/or as required by law.

7. SECURITY SAFEGUARDS

We protect your Personal Information by employing certain security safeguards and using reputable third-party services. While we maintain reasonable administrative, technical, and physical measures, it’s important to note that no online method of data transmission or electronic storage is entirely risk-free. We cannot guarantee the absolute security of your data.

International Transfer: Your information may be stored or processed outside of Canada (e.g., on cloud servers in the US or other countries). While outside Canada, it may be subject to the laws of that jurisdiction.

8. YOUR RIGHTS (ACCESS AND CORRECTION)

You have the right to request access to the Personal Information we hold about you and to request corrections if it is inaccurate. You may also request that we delete Personal Information we hold about you, provided that you acknowledge that we may not be able to continue to provide any or all of our services to you and that we may be required to retain some or all of such information to comply with professional obligations and audit requirements, or to comply with applicable law.

We will respond within 30 days.
We may verify your identity before providing access.

On our websites, you may encounter links to other third-party websites. Be aware that we are not responsible for the content or privacy practices of these other sites. We encourage all users to read the privacy notices of any other sites that collect your personal information.
